Creating Forms

Forms provide the graphical user interface to folder/document type information, allowing users to interact with database fields defined at the folder type and document type levels. Forms are used to view and edit the information stored in folder type (Digital Resources and Retrieval Requests) database fields. Forms are initially created in the Forms and Finds window. Thereafter, the layout and design of forms can be specified using the Forms Editor tool accessible via the Forms and Finds window. This section covers the creation of forms for folder/document types. Note: Multiple forms may be created for the same folder type, allowing you to design multiple ways for viewing the same database information. For example, you may create separate forms for editing and for printing records of a particular folder/document type.

Creating a form

  1. Select Forms and Finds from the Administration menu. This will open the Forms and Finds window if it is not open, or bring it to the front if it is already open.

  1. Select the folder type (Digital Resources or Retrieval Requests) for which you would like to create a form, click New ( ) and select Form. The new form properties will be displayed in the right side of the Forms and Finds window.

  1. Type the name of the form in the Name field.
  2. OPTIONAL: Specify the dimensions (width and height, in inches) of the form in the Size fields. The default form dimensions are 8.5x11 inches. If dimensions are not specified here, they can be specified in the Form Editor.
  3. OPTIONAL: Specify the print offsets (width and height, in inches) of the form in the appropriate Offset fields. These values indicate the distance the form will be offset (vertically and horizontally) from the edge of the paper when printing. The default print offset is 0.5x0.5 inches. If the print offsets are not specified here, they can be specified in the Form Editor.
  4. Click Save ( ). This will save the new form to the database and display the form within the structure grid of the File Cabinet window.
