Digital Resource Search Window

Window Objects

Search

Conducts the search.

Save

Opens the Save Find window for saving the search as a new Find. See Step 13 in “Creating Finds” for more information.

Open/Close Search Condition Editor

Opens and closes the search condition editor.

Add Criterion

Adds another criterion row to the search condition editor. Up to eight criteria can be used in each search.

Remove Criterion

Removes the last criterion in the search condition editor. At least one criterion must be used for searches.

Criteria

Search conditions contain criteria that express the actual logic of the search.

And/Or Boolean Operator

Changes the boolean operator between “and” and “or”.

All Referenced By Condition

Used for adding reference criteria to the Find. See “Reference Searching” for more information.

All Not Referenced By Condition

Used for adding reference criteria to the Find. See “Reference Searching” for more information.

Digital Resources

Displays the results in thumbnail view. For additional display options, see View Menu.

Search Results

Displays the results in form and list views.

Context Menu

Opens the Context Menu. This is available only in the Digital Resources tab.

View Menu

Opens the View Menu. This is available only in the Digital Resources tab.

Archive

Archives the files and folders corresponding to the selected digital resources. See Archive Options window for more information.

Retrieve

Retrieves the files and folders corresponding to the selected digital resources. See Retrieval Options window for more information.

Move

Moves the files and folders corresponding to the selected digital resources. See Moving Files and Folders for more information.

Edit

Opens the selected form for editing. (Only available when results are displayed in Form View)

Delete

Deletes the selected digital resource. Files and folders corresponding to the selected digital resource will not be deleted from the file system.

Display Area

Search results are displayed in this area.

Result Count

Displays the number of results returned by the search. Available only in the Digital Resources tab.

Procedures

To conduct a Digital Resource Search:

  1. Edit the criteria for the search.
  2. Click Search. The search will run and the results (if any) will be displayed.

To add a search criterion:

  1. Click the Add Criterion ( ) button. A new row will be added to the search condition editor.
  2. Define the new search criterion.

To remove a search criterion:

  1. Click the Remove Criterion ( ) button. The bottom row will be removed from the search condition editor.

To edit digital resource information in a form:

  1. Select a form in the Form selector.
  2. Click Edit.
  3. Make any changes necessary to the form.
  4. Click Update. The changes will be saved to the database.

To archive files and folders:

  1. Select a digital resource corresponding to the file(s), folder(s), or Job(s) you want to Archive.
  2. Open the Context Menu, then click Archive.
  3. Chose a destination folder and media options in the Archive Options window. Then click Choose. The files and folders in the file system will be archived.

To copy files/folders to other locations using Copy/Retrieve:

  1. Select the digital resources in the navigation pane whose corresponding files/folders you want to copy.
  2. Click Copy/Retrieve in the Context Menu. If Digital Storage Manager can find the files at the expected location in the file system, it will open the Choose Destination window. If Digital Storage Manager cannot find the files in the expected location of the file system, it will open the Retrieval Options window.
  3. Select a destination location for the files/folders.
  4. Click Choose. The files/folders will be copied to the file system location specified.

To retrieve files and folders:

  1. Select a digital resource in the navigation pane whose corresponding files/folders you would like to retrieve.
  2. Click Copy/Retrieve in the Context Menu.
  3. Retrieve the files using the Retrieval Options window.

Retrieve is used for unavailable files and folders.

To view digital resource properties for a file or folder:

  1. Select a digital resource in the navigation pane.
  2. Click the Context Menu button. The Context Menu will open.
  3. Click View-> Properties on the context menu. The Properties window will open for the selected digital resource.

To view the preview of a digital resource:

  1. Select a digital resource in the navigation pane.
  2. Click the Context Menu button. The Context Menu will open.
  3. Click View-> Preview in the context menu. The Preview window will open for the selected digital resource. Previews for PDF files will open in the default PDF viewer configured in the OS X operating system.

To view the digital resource in a new File Board:

  1. Select a digital resource in the navigation pane.
  2. Click Open in New File Board from the context menu. The digital resource will open in a new File Board window.
