While Virtual Ticket provides a tightly integrated workflow for creating Microsoft SQL Server Reporting Services Reports (MS SSRS Reports) from Virtual Ticket forms and even for creating blank reports and editing them in Microsoft Business Intelligence Development Studio (BIDS), some report authors may not have access to Virtual Ticket and/or may choose to author their reports in a third party application and manually import the resulting .rdl file into Virtual Ticket. This page describes how this is done.
Procedures
Adding a new Report from an RDL File
Open the System Setup window from the Administration menu, then select Reports and Custom Queries.
Click New and select Report. The New Report panel is shown in the display pane of the System Setup window.
Click Import an existing report. A file browser window will open. Browse to and select the RDL file you want to add as a Virtual Ticket report. The report properties will be displayed in the Report Definition tab.
Select an output type for the report. You can choose from PDF, Excel, and CSV formats.
OPTIONAL: You may preview your report now by clicking Preview ( ). You will be prompted to add any required information necessary to run the report.
Type a name for the report. By default, it uses a name based on the name of the imported .rdl file.
Select a location in the Custom Application Menu bar for the report to appear in.
This is one way users will access the report. If you do not choose a location, users will only be able to access the report through associated types (see below) or, if no associated types are defined, users will no means to access the report. This effectively means the report is hidden from all but Administrative users.
Select an Associated Folder Type for the Report in the Associated Type field. When a Report is associated with a Folder Type, the Report can be printed from any form associated with that folder type by clicking File-> Print and selecting View Report. Only reports that use one parameter based on the ID field of the folder type can be associated with Folder Types.
Review the execution timeout settings in the Execution tab. Make any changes necessary.
Specify the user access permissions for the report in the Access tab.
Click Save when done. The report definition file will be uploaded to the Virtual Ticket database and the report will be available to the specified users.
Previewing a Report
Any Report that has been added to the system can be previewed.
Open the System Setup window if it is not already open.
Browse to and select a Report in the list.
Click Preview... (). A Report Parameters window will appear, allowing you to enter any necessary information required by the report.
Type the parameter(s) for the Report and click Open. The Report will begin generating. A Generating Report status window will appear while the Report is generating.
The report will open when it has been generated.
Assigning access privileges for Reports
Select the Report in the System Setup window for which you want to assign access privileges. The properties of the selected Report will appear in the display pane.
Click the Access tab. The Report Privileges will be displayed, allowing you to assign access privileges to the selected report for the users and groups defined in the Virtual Ticket system.
Assign the appropriate access privileges for the Report. Available privileges include:
View - allows specified users the ability to view the report. When enabled, the Open button will appear in the Report Parameters window and in the Print Report window.
Save - allows specified users the ability to save the report. When enabled the Save As... button will appear in the Report Parameters window and in the Print Report window.
Print - allows specified users the ability to print the report. When enabled, the Print button will appear in the Report Parameters window and in the Print Report window. In addition, the privilege controls the availability of the Print Report... button in the form print dialog and the "Print Report" option in the File Menu.
If users have the View privilege, the external application used to view the report may provide the ability to save and print the report, regardless of the privileges specified in Virtual Ticket.
Click Save () to save the access privileges and make the updated settings available to the end users of the Virtual Ticket system.
