Like the forms, tickets, and finds in your system, your reports will likely also evolve over time in response to your changing needs and growth of your business. To help you with this, Virtual Ticket provides several convenient ways for you to edit and update your reports:
Update your forms and corresponding reports: If your reports are based on forms, you can simply update the forms to accommodate your changes and then recreate the reports.
Use the integrated report authoring capabilities: From Virtual Ticket, you can launch Microsoft Business Intelligence Development Studio (BIDS) to edit and update your reports. Because of the integration with Virtual Ticket, this is often the most convenient option for report authors that have access to Virtual Ticket and do their report development and maintenance in BIDS.
Use the built in RDL export and import capabilities: This option is convenient if your report developers don't have access to Virtual Ticket (or even if you prefer to edit and maintain your reports in in something other than BIDS). By using this method you can easily export your report RDL files and send them to your report developer(s). When they send the changed/updated reports back to you, just re-import them into your system.
Procedures
Editing RDL files with Virtual Ticket's built-in workflow
Select the report you want to edit in the Reports and Custom Queries section of the System Setup window. Click thumbnail to see in full size
Click Edit () in the Report Definition tab. The report RDL file will open in Microsoft Business Intelligence Development Studio (BIDS). If BIDS is not installed, Virtual Ticket will offer to install it for you. Click thumbnail to see in full size
Make the changes and edits to your report.
Save the report in BIDS and close when done. Virtual Ticket will detect that BIDS has closed and will prompt you to import the report.
Click Yes to import your modified RDL file. Changed sections will be indicated by blue text in the Report Definition tab.
OPTIONAL: You may preview your report now by clicking Preview ( ). You will be prompted to add any required information necessary to run the report.
Click Save () in the System Setup window when done.
Exporting report RDL files
Select a Report in the System Setup window.
Click the Edit dropdown, then select Export to .rdl file....
In the file system browser, browse to and select a destination and name for the .rdl file.
Click Save when done. The report definition file will be exported to the specified location in the file system.
Importing report RDL files
Select a Report in the System Setup window.
Tip: While you can cancel your changes to the Report up until the point at which you Save the changes, there is no "undo" for changing the RDL file for a Report after it has been saved. If you are unsure of the impact of changing the RDL file for an existing Report, you might want to consider making an existing Report hidden and adding the new RDL file as a new Report in Virtual Ticket. This will allow you to easily revert back to the original Report, if needed.
Click the Edit dropdown, then select Import from .rdl file....
Browse to and select the Report RDL file to import. The Report RDL File will be uploaded. Changes in the report definition will be highlighted in blue.
Click Save when done. The Report definition file will be uploaded to the Virtual Ticket database, replacing any existing RDL file for the Report.
